The Impact Force public organization announces a tender for the provision of Project Coordinator consulting services within the framework of the “Dream and Achieve 2025” program with the aim of ensuring effective coordination, implementation, and monitoring of the educational program, including a communication campaign, recruitment of participants, implementation of an AI learning assistant, a digital security module, as well as preparation of the mentoring component and the final offline event.
The Dream and Achieve 2025 program aims to support the development and professional realization of women in Ukraine through training, mentoring, community support, and economic empowerment.
Term of service provision: November-December 2025
Work format: remotely with some offline activities (Kyiv)
Application deadline: October 24, 2025
Price offer validity period: at least 30 calendar days.
Organizational requirements:
- A legal entity or individual entrepreneur registered in accordance with Ukrainian law.
- Payment for services will be made exclusively in non-cash form on the basis of a concluded contract and a certificate of completion.
1. Purpose of the task
To ensure the effective coordination, implementation, and monitoring of the 2025 Dream and Achieve educational program, including a communication campaign, recruitment of participants, implementation of an AI learning assistant, a digital security module, as well as preparation of the mentoring component and the final offline event.
The Project Coordinator is responsible for the smooth operation of all components, adherence to schedules, achievement of indicators, and quality interaction between the Impact Force team, contractors, mentors, partners, and program participants.
2. Scope of work
Overall project coordination
- Compilation and regular updating of a detailed schedule of activities for the 2025 Dream and Achieve educational program, agreed upon with the project team
- Coordination of all components involved: communication campaign; online training; AI learning assistant; mentoring program and recruitment of mentors; final event.
- Ensuring the timely implementation of all components according to the schedule and monitoring the achievement of target indicators
- Preparation of regular updates and coordination with the Impact Force team and donors.
- Maintaining documentation of all activities, storing supporting documents, and reporting forms.
Coordinate communication and recruitment campaigns
- Support the development and implementation of a national communication campaign to recruit participants for the program.
- Coordinate communication and design contractors to recruit participants for the program.
- Support the registration process, maintain lists, and assist participants with communications. Monitoring coverage, number of applications, and compliance with target groups
- Ensuring the integration of success stories from previous phases of the program
Coordinating baseline research on the needs of program participants
- Organizing baseline needs assessment
- Monitoring data collection from 100% of registered participants
- Verifying the correctness of data disaggregation
- Transfer of results to the training team for content personalization
Coordination of the training program and AI training assistant
- Coordination of the addition of a digital security module
- Support for the integration and testing of the AI training assistant
- Control of:
- accessibility;
- personal data protection;
- stable operation of the chatbot
- Monitoring participation, attendance, and completion rates for training modules
- Supporting participants in case of technical or organizational issues
Coordinating the mentoring component
- Supporting the development of an updated Mentorship Plan
- Supporting the recruitment process for at least 15 mentors per program
Community management
- Coordination of online communities of participants (chats, peer groups)
- Support for interaction, exchange of experience, and engagement
- Identification of risks of burnout or dropout of participants
Monitoring, reporting, and final event
- Collection and analysis of data on all program indicators
- Preparation of an interim report
3. Expected results
Approved program implementation plan
Coordinated launch of the program for at least 1,800 women. Reports on the communication campaign and recruitment
Ensured collection and systematization of disaggregated data (age, region, IDP status, disability, rural/urban, etc.)
Launched and functional AI learning assistant with a digital security module. Reports on the use of the AI learning assistant
Updated Mentorship Plan developed and ready for implementation.
4. Requirements for the contractor
- Experience in coordinating educational/social/donor projects
- Experience with online learning and/or digital programs, understanding of M&E principles and donor reporting
- Experience working with vulnerable groups (IDPs, veterans, women)
- Experience coordinating multidisciplinary teams.
- Knowledge of Google Workspace, Excel, Google Forms, Zoom, Canva, or similar tools, as well as communication tools (Slack, Telegram, etc.)
- High level of self-organization, communication, and facilitation skills.
- Preference will be given to candidates with previous experience in international/donor projects.
- Proficiency in Ukrainian; working level of English is an advantage
